UPDATE: I had wondered why the description field is not included and thought perhaps it was an oversight. Email from Kevin Taylor:
Last week I asked Kathy to begin posting our check registers on the District's web site as they are approved by our board. Hopefully this will allow easy access to this information. I would expect that due to the amount of work the day after board meetings and the fact that we only have one clerical staff member, these postings should be made by the end of the next business day after our board meetings. The check registers are posted as they are prepared in our financials. We do not as a matter of procedure include a check description in the check register.

The reason I would like a short description, as other entities do, including, as you know, the GRISD school board, is that it makes it evident to see for what purpose a check was written for. Otherwise, it would be reaonable (sic) for people to do open records requests to ask for that information, and that seems rather redundant since you are making the registers available in a timely manner. But, then, you may be saying that a computer printout of the information doesn't include the information because you don't input it in the first place as a description?
His reply
You are correct in that last statement. That information is never input to begin with and therefore cannot be included in a report. The report you see on our website with the five fields (check#, date, payee, cash account, and account) are all our report printout provides. I hope this answers you question. Kevin Taylor
I have requested to be put on the next water board agenda to request that the Water District include a description field with their checks. I don't really understand, frankly,how any of them can go back and know or remember what a check was written for without a notation.
